Club Assistants
Newsletter Sub-Clubs
Correspondence Secretary (1 hr/mo): Send birthday e-cards to members.

East Bay Council Liaison

General Meeting Secretary (2 hrs/mo attending general meeting): Attend the monthly general meeting and write a monthly column for the newsletter about what happened at the meeting.

Hotline (1 hr/mo) Record a new message each month on the club’s hotline listing the activities and who to contact for more information.

Meeting Refreshments Coordinator (3 hr/mo attending the general meeting): Help with the set-up of the general meeting. Responsible for general meeting refreshments by writing a monthly article for the newsletter and purchasing refreshments .

Web Mom (varies) Updates, develops and maintains our website.

Children’s Book & Toy Review (1 hr/mo): Write and submit a short article with information about 2-3 children’s books and toys you would recommend to other moms.

Craft Corner (1 hr/mo) Submit a craft project to the newsletter editor for publication for age appropriate crafts.

Newsletter Distribution (3 hrs/mo): Help distribute the newsletter at the general meetings and mail to those who do not attend the meeting.

Proofreader (1 hr/mo): Proofread our newsletter for grammar and spelling errors.

Out and About (2 hours/mo) Submit a monthly column to the newsletter editor for publication highlighting local shows, events, library programs and activities for families or children.

Recipe Corner (1 hr/mo) Submit a recipe to the newsletter editor for publication.

Roving Reporter (1 hr/mo) Send a humorous or interesting question out to members via mom-chat each month and compile the responses into a monthly column in the newsletter

 

 

Sub Clubs need coordinators who will schedule monthly or twice monthly get togethers. The coordinator will also keep an email list of interested members and send emails to them about upcoming events. Each month the coordinator will submit a short item to the newsletter editor about upcoming get togethers. Sub-clubs follow the schedules and interests of our members so coordinators have flexibility.

Club Coordinators
Steering Committee

Advertising (2 hrs/mo): Follow up with current advertisers to renew their advertising in the newsletter. Respond to interested advertisers via email about the advertising rates and deadlines.

Babysitting Co-Op (1 hr/wk): Manage a social calendar where members get together to know other possible caretakers for their children. Register new members to the Yahoo group and distribute packets to new members.

Community Outreach ( 2 hrs/wk): Responsible for designating a club charity each month and writing an article for the newsletter describing the charity and what they need. Also responsible for collecting donations at the general meetings and distributing them to charities.

E-Mom Moderator (2 hrs/wk): Responsible for managing our E mom service through yahoo (this position is usually shared with another member).

In-A-Pinch (varies): Coordinate help for members experiencing illness, family emergencies, or other difficult times.

Party Committee (varies): This committee works to plan our club’s fabulous parties, such as the Halloween Party, Holiday Party, Spring Fling and the Annual Picnic.

Playgroup s (1 hr/mo): Provide members information on open and new playgroups. Update the monthly column in the newsletter. Host playgroup play dates to help form new playgroups.

Publicity (3 hr/mo): Submit meeting dates to local media (newspapers, trade magazines, community bulletin boards etc) and distributes brochures. Coordinates volunteer staff at annual events.

Social Committee (varies): This is a team position. Plans monthly social activities for kids, moms and families. This allows planning around your schedule and is a great opportunity to meet other moms.

Special Events Committee (varies): This is a team position. Plans special events for the general meetings, such as the May Pampering Event.

Welcoming Committee: (1 hr/mo): Calls and welcomes new members and plans 2-3 Welcoming Tea Parties/year.

Co-Director (5 hrs/mo): Provides direction and guidance to volunteers. Manages the club’s operations with other co-directors to meet the needs of members and follow the club’s mission. Attends general meetings and steering committee meetings.

MembershipCoordinator (2 hrs/mo): Retrieves voice mails and new member inquiries, sends application and information packets. Staffs the sign-in table at the General Meetings and assists the Welcoming Committee. Attends steering committee meetings.

Membership Database (3 hrs/mo): Retrieves mail from the club’s post office box. Enters information for new members and renewals in the club’s database and maintains the club roster. Responds to requests from members for database information. Attends steering committee meetings.

Mom Dins (2-3 hrs/mo): Oversee and help arrange for meals to be provided for expecting moms in the club who sign up for the mom din program. Communicate with the individual coordinators to ensure that meals are covered, submit monthly articles to the newsletter with the current list of expecting moms, mom din thank yous and new baby announcements. Attends steering committee meetings.

Newsletter Editor (Copy and Design) (10 hrs/mo): Receive email submissions from members for the newsletter and assemble them into a new newsletter each month. Send the newsletter out to the prrofreaders and co-directors for feedback, make edits and then send it to the printer. Attends steering committee meetings.

Secretary (3 hrs/mo): Attend Steering Committee meetings, take minutes and email co-directors after the meeting. Write an article describing the meeting’s discussion for the newsletter.

Speakers (2 hr/mo): Schedules speakers for the general meetings. Helps plan pertinent and fun topics, locates speakers and works as a liaison with them regarding meeting details. Submits upcoming meeting write-ups to the newsletter editor. Attends steering committee meetings.

Treasurer (1 hr/wk): Prepare budget and maintain club checking account. Write checks to reimburse members for expenses and pay the club’s bills. Attends steering committee meetings.

Volunteer Coordinator ( 2 hrs/mo): Keep track of who is interested in what positions and fill positions throughout the year as they become available. Attends steering committee meetings.
